Privacy Policy

Last updated: 2 November 2026

1. Who we are

WhereNow is operated by VideoTranslatorAI Pty Ltd (ABN 73 602 663 141) (we, us or our). This policy explains how we collect, use, hold and disclose personal information in connection with WhereNow, including our website, communications and app testing.

Our public website currently introduces an app in development. It does not offer public account registration, payments or property reports. Additional information below applies only when you participate in an invited test or use an enabled feature.

2. Information we collect

What we collect depends on how you interact with us:

Please share only information relevant to your enquiry or property search. Avoid sending identity documents, bank details, health information or other sensitive information. If information about another person is necessary, make sure you have authority to provide it.

3. How we collect information

We collect information directly when you contact us, take part in testing or use the app. We may also receive information from a sign-in provider you choose, our service providers, and publicly available property sources used to respond to your research requests. Public property information can include information about identifiable people.

You can browse the coming-soon website without identifying yourself. If you do not provide information needed for a particular feature or request, we may be unable to provide that feature or respond fully.

4. Why we use information

We use personal information to respond to enquiries, administer testing and accounts, provide property research, remember and correct preferences, maintain conversation continuity, investigate problems, protect the service, and meet legal obligations. We also use feedback and operational records to improve WhereNow.

Authorised team members may review test conversations, saved preferences and research results for support, quality review and troubleshooting. An account is not a shared public conversation.

We do not sell your personal information or pass your enquiry to real estate agents for lead generation. We do not use your private conversations to train our own AI models. We will ask before subscribing you to marketing communications; you can opt out at any time by contacting us.

5. AI and other service providers

The coming-soon website does not send your visit to an AI model. When you use the app’s AI features, relevant messages, preferences and research context are processed through OpenAI’s API services to generate responses and perform research. Research queries may be sent to search and information services. Please do not include personal details that are unnecessary for your question.

OpenAI describes its business-data handling in its enterprise privacy information. Provider processing and retention are subject to the applicable service arrangements; using an AI feature does not mean information is processed only on your device.

We may disclose information to providers supporting hosting, email, authentication, analytics, security and technical operations, to professional advisers, where you ask or authorise us to, or where required or permitted by law. We limit disclosures to what is reasonably needed for the relevant purpose.

6. Overseas processing

Some service providers may process or hold information outside Australia, including in the United States for AI services. Other locations depend on the providers and features used. Contact us if you would like further information about the recipients and locations relevant to your use of WhereNow.

Where applicable, we take reasonable steps required by Australian privacy law in relation to overseas disclosures. We do not represent that all information stays in Australia.

7. Cookies and tracking

We use Google Analytics 4, installed through Google Tag Manager, to understand visits to this website and improve it. Google receives information such as the pages visited, referring website, browser and device details, approximate location and cookie identifiers. Analytics cookies help distinguish visitors and sessions. Google Tag Manager loads the configured measurement tag.

Google signals and advertising personalisation signals are disabled in our website measurement tag. This setup does not include remarketing or advertising conversion tags. We do not send app conversations, property preferences, names or email addresses as analytics event parameters. Please avoid including personal information in URLs you share.

You can control cookies and scripts through your browser or use Google’s Analytics opt-out browser add-on. Learn how Google uses information from sites using its services in Google’s partner-site privacy information. Google may process information outside Australia, including in the United States.

The website does not currently offer signup forms or purchases. Fonts and artwork are served with the website; hosting and security providers may also process connection records. We will update this notice before introducing materially different tracking. Following a link to another website brings you within that website’s own privacy practices.

8. Storage, security and retention

We use reasonable access controls and technical and organisational measures to protect information from misuse, loss and unauthorised access or disclosure. No online service can guarantee absolute security. Invited testing uses development systems and should not be used to store sensitive records.

We keep information for as long as reasonably needed to provide the service, maintain accounts and conversation history, address support or security issues, and satisfy legal, accounting or dispute requirements. When it is no longer needed, we take reasonable steps to delete or de-identify it, subject to applicable obligations. Backup copies may remain until replaced or securely removed through the backup lifecycle.

9. Access, correction and deletion requests

You can ask what personal information we hold about you, request access or correction, or ask us to delete information you have provided. Contact hello@wherenow.to. Account deletion during testing is handled by contacting us.

We may need to verify your identity before acting. We will respond within a reasonable time and aim to respond within 30 days. If we cannot fulfil a request, including because information must be retained by law, we will explain the reason and available complaint options. These requests are handled in accordance with applicable law.

10. Privacy complaints

If you are concerned about how we handle personal information, email hello@wherenow.to with the details. We will investigate and aim to respond within 30 days. If more time is needed, we will let you know.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner, where your complaint falls within its jurisdiction.

11. Changes and contact

We will publish updates to this policy here and change the date above. For material changes affecting existing users, we will provide an appropriate notice before the changed practice applies where required.
